2. Personal data we may collect

Depending on your relationship with us, this can include identity and contact details, appointment information, tax and financial records, employment or business information, property and family details, correspondence, payment information, professional-adviser contacts and technical website data.

We may receive information from you, authorised representatives, HMRC, Companies House, employers, financial institutions, professional advisers, public registers and service providers where lawful and relevant.

Tax work can reveal health, family, immigration, criminal-offence or other sensitive information. We use such data only where relevant and a lawful condition applies. If you provide another person’s data, you should have authority and tell them how it will be used where appropriate.

5. Website enquiries and TidyCal bookings

When you use our website enquiry form, our website host processes the contact details and message you submit and passes the enquiry to our email provider so we can respond. When you email us directly, your email provider and ours process the information you include. Do not send confidential tax, identity, banking or legal records by ordinary email unless we have agreed that route. TidyCal processes booking details, availability, appointment administration and related technical information on its platform. Its terms and privacy information also apply when you use the embedded calendar.

Payment providers may process card or transaction data for paid appointments. UA Tax does not need to receive the complete card number to administer the booking.

6. Who may receive data

We may share relevant data with HMRC and other authorities, professional bodies and insurers, cloud, security, communications, payment and appointment providers, and solicitors, valuers, financial advisers or overseas tax advisers involved with your authority. We do not sell personal data.

Providers act under contractual or legal duties appropriate to their role. Some processing may take place outside the UK; where required, recognised safeguards are used for restricted transfers.

7. Retention and security

Records are kept for periods appropriate to tax, company, anti-money-laundering, professional, insurance and contractual obligations. A dispute, enquiry or legal hold may extend retention. When data is no longer needed, it is deleted, destroyed or anonymised where appropriate.

We use proportionate organisational and technical controls, access restrictions and secure service providers. No internet transmission is risk-free, so use the secure document route supplied for confidential records.

8. Your rights and complaints

Subject to law, you may request access, correction, erasure, restriction, objection, portability or withdrawal of consent. Some rights are limited where records must be retained or processing is necessary for claims or legal duties.

Retention depends on legal, regulatory, professional, tax and contractual needs. Records are reviewed and deleted or anonymised when no longer required, subject to any dispute or legal hold.

How can I exercise my data rights?

Email info@uatax.co.uk describing the request. We may need to verify identity and can restrict or refuse a request only where data-protection law permits.
